Introduction
The Rover P6 Club (the Club)is a member owned and controlled single marque motor club, with a voluntary committee managing day to day aspects of club activities. We exist to support our members and the wider historic vehicle community in technical and historic aspects of the Rover P6 range of vehicles, and running and supporting events.
The Club is committed to protecting your privacy and will only use personal data in the ways described in this policy. All data is managed securely and fairly and the Club complies with General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
Data we collect, and how this is used.
For website users
We do not collect personal information for people reading content on our website. Data is only collected to support specific transactions as outlined below. Cookies are used, as is common for modern websites, to support the functionality of the site as detailed below. We do not use any marketing trackers.
For Club Members
When you join the Club, you registration requires that you let us know your name, address, and contact details (email and telephone). Please let us know if any of your personal information changes or is inaccurate so that we may keep our records up to date.
In addition, you may optionally provide your age, names of family members you wish to include in your membership, and vehicle details.
Your information is kept securely on our membership system, and only shared with defined Committee Members and Area Organisers in the Club (who have all signed data protection agreements) for the following purposes:-
· To welcome new members
· To enable us to send out club magazines, and membership cards.
· To send out reminders in the case of overdue subscriptions.
· To contact you regarding any queries.
· To provide you with any information bulletins regarding major events or General Meetings (AGM / EGM)
· To enable Area Organisers to contact you with local events and news.
· To enable the Club’s administration, collection of statistics and analysis of data to improve the service to members.
· To verify membership for member only services such as login to the Members Only area of the website, discount codes for events and items only available to members such as workshop manuals.
Payments for membership and renewals are handled by 3rd party providers on their secure portals, accessed via our website. We do not store any Bank or Card details, only that a subscription has been paid or, in the case of a Direct Debit, the due date for payments.
Member data is only shared outside of the Club for specific purposes such as printing and distribution of the Club’s magazine, Driving Force, and 3rd parties have to sign a data protection agreement with the Club.
The Club does not sell or share any personal data to marketing companies and does not use its mailing list for any advertising or non-club related purposes.
The Club publishes an annual hardcopy Yearbook and Members Contact List. This is only open to current members (at the point of publication) and is voluntary. Only members who are registered for this publication are entitled to receive it. The only information shared in this publication is that provided specifically for the purpose during registration, and club records are only used to validate this information and not supplement it.
The Shop
Purchases from the on-line shop on this website will require a delivery name and address, phone and email plus a payment by card or PayPal.
We record the delivery name, address, phone and email supplied plus the items ordered to enable delivery, any follow up communication and in case of any non-delivery, transit damage or other query. No card or PayPal details are retained by the Club as these are handled by a secure 3rd party payments system (PayPal).
The same information is collected and saved for the same purposes when items are ordered via the advert in the Club Magazine, although payment methods differ.
Contact Us
If you choose to make an enquiry via the Contact Us form, your name, email and query will be recorded and forwarded to the appropriate club officer. In addition, IP address may be recorded. The Club has had a number of bot generated enquiries and spam and
such details can be used to remove these, improving our service to real enquirers. All bot generated, spam and malicious requests will be deleted and not answered.
Cookies
When browsing a modern website, small files called Cookies are created by the web server and saved on your computer by your web browser. This site uses Cookies which enable the site to:-
· Remember settings, so you don’t have to keep re-entering them whenever you visit a new page. Examples include page preferences and filter information.
· Manage sign-up for the members only area, and login information to enable you to visit different pages without having to keep logging in.
· Remember information related to the Club Shop, ensuring that the process of shopping, ordering and payment can be managed.
· Remember user details for online forms to enable these to be filled out easily in future.
· Measure how you use the website so we can make sure it meets your needs.
Our cookies aren’t used to identify you personally. They are only used to make the site work better for you and give a more seamless experience. Indeed, you can manage and/or delete these small files as you wish, however if you disable cookies, you may find technical issues with some parts of the website, such as losing logins or shopping baskets.
We do not partner with any marketing companies and do not use any affiliate tracking cookies.

Social Media and other websites
The Club, in common with many other organisations, maintains a presence in social media, such as Facebook. If you join our Facebook page or other club accounts in social media, please be aware that this does not make you a club member, merely a participant on that platform.
This privacy policy applies only to paid-up club membership and to this website, which are under the direct control of the Club. If you use social media or any external website, including any linked via this site, the privacy policy is that of the site concerned. For
example, any personal information you share in setting up a social media account is subject that site’s policy and the visibility settings you apply.
Data jurisriction
Although the Club has members across the world, it is based in the UK and is under UK legal jurisdiction.
All member and website personally identifiable data is hosted securely on UK based servers. Prevailing legislation is the (UK) Data Protection Act 2018 (DPA 2018) which incorporates the EU General Data Protection Regulation “EU-GDPR”, as amended by the Data Protection, Privacy and Electronic Communications (Amendments Etc)(EU Exit) Regulations 2020 following Brexit.
Amongst the requirements of this legislation, the Club, as data controller, is to ensure that any personally identifiable data is:-
· Processed lawfully, fairly and in a transparent manner in relation to individuals
· Collected for specified explicit and legitimate purposes
· Adequate, relevant and limited to what is necessary
· Accurate and where necessary kept up to date
· Kept in a form that permits identification of data subjects for no longer than is necessary
· Processed in a manner that ensures appropriate security of the personal data
The Club abides by these requirements, both because it is legally required and also because it is the right thing to do. We only collect and process your data to provide you with the services you expect from us, as outlined in this policy, and not for any other reason.
Where we control data, you, the data subject have certain rights, such as:-
· To access, update, or delete the information we have on you.
· To know whether or not we are processing your personal data, the nature of that personal data and the purposes of the processing.
· Request that your personal data be transferred to another person (data portability).
· To object to, or to restrict particular ways in which the Club is using the personal data.
· Withdraw consent to holding or processing your data.
In addition, rights are laid out in the legislation with respect to automated decision making, profiling and use for marketing. However, the Club does not use your data for any of these purposes and hence these rights are redundant as far as the Club’s use of your data is concerned.

The Club is committed to working with data subjects to obtain a fair resolution of any complaint or concern about privacy. However, a data subject has the right to make a complaint to the data protection authority of the UK using its website www.ico.org.uk
Please note:-
· In cases where data processing is restricted, data is deleted or consent withdrawn, following such a request, the Club may be unable to continue to offer its services and you may cease to become a member.
· We are unable to delete data if to do so is unlawful, or if there is an unresolved complaint relating to said data.
· We are unable to delete data that has been printed in a club publication and already in the public domain.
Changes to This Privacy Policy
This Privacy Policy is effective as of the date stated at the top of this page and will remain in effect except with respect to any changes in its provisions in the future, which will be in effect immediately after being posted on this page.
We reserve the right to update or change our Privacy Policy at any time, and you should check this Privacy Policy periodically.
